Construction daily report template

A blank daily report you can print today, with the same sections YakProject uses, and a plain-English guide to filling it in.

What it is

A daily report (or daily log) is the superintendent's or foreman's record of one day on site: who worked, what got built, what arrived, what was inspected, and what got in the way. It is the first thing anyone asks for when there is a delay claim, a dispute about extra work, or an injury.

When it's required

Many contracts and specifications require daily reports, often in Division 01, and public owners commonly do. Even when no one requires one, a report written the same day is the best evidence you will have later. Check your contract for the format and when it is due.

Field by field

Project, date, report number
One report per day per job. Number them so a missing day is obvious.
Weather
Conditions at start and end of day. Weather is the most common cause of delay claims.
Manpower
Each company and trade on site, the crew, headcount, total hours, and the cost code and area they worked. Include subcontractors.
Work performed
What was done, where, and how much: quantity installed and its unit, against the schedule activity and cost code.
Equipment
Equipment on site, operating and idle hours, the operator, and any deficiency.
Materials and deliveries
What arrived, from whom, how much, the delivery ticket number and where it was put.
Inspections and tests
Who inspected what, against which spec section, the result and any corrective action.
Quality control
Preparatory, initial and follow-up inspections, deficiencies found, and who is responsible.
Safety observations
Toolbox talk topic, hazards seen, and the action taken. Record incidents separately too.
Delays and disruptions
The cause, what it affected, hours lost and what you did about it. Be specific and factual.
Visitors
Name, organisation, purpose, and arrival and departure times.
Instructions and coordination
Directions received, who gave them, and the RFI, drawing or change reference. Note verbal directions here the same day.
Signature
Whoever wrote the report signs and dates it. Don't edit a signed report; add a dated correction.

Questions contractors ask

How long should a daily report take?

Ten to fifteen minutes on paper if you note things during the day. In YakProject the hours, quantities and deliveries recorded during the day fill the sections for you.

Should subcontractors write their own?

Often the contract requires it. In YakProject, subs on your job add their part of the report free, and their hours roll up by trade.
