G702/G703-style pay application template

An application for payment summary and continuation sheet in the layout most owners and lenders expect, with a guide to every line.

What it is

A pay application is a contractor's monthly request for payment. The summary page (G702 style) totals the contract, the change orders, the work completed and stored, retainage and what was already paid, to arrive at the payment due. The continuation sheet (G703 style) shows each line of the schedule of values that adds up to it.

When it's required

Commercial contracts commonly require monthly applications in this format, especially when the contract is based on AIA documents or a lender is involved. AIA, G702 and G703 are trademarks of The American Institute of Architects. This is an independent template in the same layout, not an AIA document; if your contract requires the AIA forms themselves, use them.

Field by field

1. Original contract sum
The contract amount before any change orders.
2. Net change by change orders
Approved additions minus deductions, to date. Pending changes don't go here.
3. Contract sum to date
Line 1 plus line 2.
4. Total completed and stored to date
Column G total from the continuation sheet.
5. Retainage
Retainage on completed work and on stored materials, at the contract's rates. Show both, then the total.
6. Total earned less retainage
Line 4 minus line 5.
7. Less previous certificates for payment
Line 6 from the previous application (what was certified before).
8. Current payment due
Line 6 minus line 7.
9. Balance to finish, including retainage
Line 3 minus line 6.
Continuation sheet A–B
Item number and description, matching the schedule of values.
C. Scheduled value
The value of that line in the schedule of values.
D. From previous application
Work completed on this line in earlier periods (D + E of the last application).
E. This period
Work completed on this line during this period.
F. Materials presently stored
Stored materials not yet in D or E.
G. Completed and stored to date
D + E + F. The percent is G ÷ C.
H. Balance to finish
C − G.
I. Retainage
Retainage on this line, if the contract retains by line.
Signatures
The contractor certifies the application; the architect or owner certifies the amount. Many owners also require notarisation and lien waivers.

Questions contractors ask

What is a schedule of values?

The breakdown of the contract sum into lines, agreed at the start. Every application bills against those lines, so set them up carefully.

Does YakProject check the arithmetic?

Yes. Applications are recomputed from their lines, the summary always equals the continuation sheet, and a line can't be billed past its scheduled value.
